Artic Technologies Pvt. Ltd. (“Artic”, “we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Artic voice-AI platform, website, and related services (collectively, the “Service”). Please read this policy carefully. By using the Service you consent to the practices described here.
1. Information We Collect
We may collect the following categories of information:
- Account data: Name, business name, email address, mobile number, GST/PAN details, and billing information provided at registration.
- Usage data: Call logs, call duration, API request metadata, wallet transaction history, and feature interaction events.
- Technical data: IP address, browser or SDK version, operating system, device identifiers, and crash/error reports.
- Call recordings & voice data: Audio streams, transcripts, and ASR outputs generated during calls processed through the Service (see Section 3 for details).
- Communications: Emails, support tickets, or other messages you send to us.
We do not intentionally collect sensitive personal data such as Aadhaar numbers, financial account credentials, health information, or data relating to minors. Do not submit such data through the Service.
2. How We Use Information
We use the information we collect to:
- Provision, operate, and maintain the Service.
- Process payments, manage wallet balances, and generate invoices.
- Send transactional notifications (call summaries, low-balance alerts, security notices) and, where you have opted in, product updates.
- Detect, investigate, and prevent fraud, abuse, or violations of our Terms of Service.
- Analyse aggregate usage patterns to improve and develop new features.
- Comply with legal obligations, including TRAI regulations, the Information Technology Act 2000, and court or regulatory orders.
We do not sell your personal data to third parties, and we do not use your data for unsolicited direct marketing without explicit consent.
3. Call Recordings & Voice Data
The Artic platform processes live audio to provide ASR, LLM reasoning, and TTS services. By default:
- Audio streams are processed in real time and are not stored beyond the duration of the call unless you have explicitly enabled call recording in your account settings.
- Where call recording is enabled, recordings are stored in encrypted form for a default period of 90 days or the retention period you configure, whichever is shorter.
- ASR transcripts generated during a call may be retained for up to 30 days for debugging and quality-assurance purposes, after which they are permanently deleted.
You are solely responsible for obtaining any consents required under applicable law (including TRAI regulations) from the individuals whose voices are processed through the Service.
4. Sharing & Disclosure
We may share your information with:
- Service providers: Cloud infrastructure providers, payment processors, and analytics vendors acting as data processors on our behalf under appropriate contractual safeguards.
- Telecom partners: TRAI-licensed telecom operators required to interconnect calls to the public switched telephone network (PSTN).
- Legal & regulatory authorities: Where required by a valid court order, law-enforcement request, or statutory obligation under Indian law.
- Business transfers: In connection with a merger, acquisition, or sale of assets, in which case we will notify affected users and the acquiring entity will be bound by this policy or an equivalent.
We require all third parties to maintain appropriate technical and organisational security measures and to process your data only for specified, lawful purposes.
5. Data Security
Artic implements industry-standard security controls, including encryption in transit (TLS 1.2+) and at rest (AES-256), role-based access controls, audit logging, and regular vulnerability assessments. Our infrastructure is hosted in data centres located within India to the extent practicable.
No method of transmission over the internet is completely secure. While we strive to protect your data, we cannot guarantee absolute security. You agree to notify us immediately at security@artic.ai if you suspect any unauthorised use of your account.
6. Data Retention
We retain personal data for as long as your account is active or as needed to provide the Service. We also retain data as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods:
- Account and billing records: 7 years (income-tax compliance).
- Call logs (metadata only): 12 months from call date.
- Call recordings (if enabled): 90 days or custom setting.
- ASR transcripts: 30 days.
- Support tickets: 2 years from closure.
Upon account deletion, personal data is purged from active systems within 30 days, except where retention is required by law.
7. Your Rights
Subject to applicable Indian law (including the Digital Personal Data Protection Act, 2023 and rules made thereunder), you have the right to:
- Access: Request a summary of the personal data we hold about you.
- Correction: Ask us to correct inaccurate or incomplete data.
- Erasure: Request deletion of your personal data, subject to legal retention obligations.
- Grievance redressal: Lodge a complaint with our Grievance Officer (details below) or with the Data Protection Board of India once constituted.
To exercise any of these rights, email privacy@artic.ai from the address associated with your account. We will respond within 30 days.
8. Cookies
Our website uses cookies and similar tracking technologies to:
- Essential cookies: Maintain session state and authentication.
- Analytics cookies: Measure page performance and feature usage (anonymised). We use privacy-preserving analytics and do not share raw analytics data with advertising networks.
You may disable non-essential cookies through your browser settings. Disabling essential cookies will prevent you from logging in or using dashboard features.
